PRACTICE POLICIES
SESSION FEE Sessions are $140 per 60 minute session (unless another fee was agreed upon at intake). There are a limited amount of sliding scale slots available. Payments are taken the day of your scheduled session.
MEETING LOCATION
The standard meeting location for therapy is in a private location to help ensure that confidentiality can be upheld. Minors are expected to be given a private location, free from all family members. Therapy sessions will not be conducted while you are out in public places. If you are driving, you must pull over and become stationary in order to have your session. You may request time to get to your location. To honor this request, we will disconnect from the session. When you reach a stationary location, we may resume the session. Please note that the start time and end time for the session will remain as scheduled.
Session can only take place in the licensing state of the therapist. This means if you plan to travel outside of that state, you must cancel the session and notify the therapist. Wanda Hudson, is the only clinician licensed outside of Texas. Her clients must be in either Texas or Idaho. If you work with any other therapist, you must be in Texas to have your sessions.
INSURANCE
This section covers the insurance policy for the clinicians on our team accepting insurance at this time. If the therapist you will be working with accepts insurance, please read the below sections. If you are self-pay you may skip this section and move to the appointments and cancellation fees section.
Wanda Hudson Consulting will be using Headway and Alma to manage our insurance billing and admin work so we can place all of our focus on our work together. Headway & Alma are both third-party insurance billing companies. This means that WHC is not individually credentialed with the insurance companies and reserves the right to offer limited spots for each insurance carrier. This currently includes Aetna, Oxford Health, Oscar Health & BCBS. This means that if you change insurance plans, you may have to go on the waiting list if there are currently no slots available at the time for your insurance carrier or you will move to self-pay.
Headway & Alma will manage everything related to payments and insurance to make things as easy as possible for you. The Headway team will reach out via email to help you set up your account and add your insurance and payment details. You’ll see your cost/session ahead of time and can check your benefits any time here.
You can reach the Headway or Alma team directly from your Headway account—they can help with any insurance, billing, or account questions.
APPOINTMENTS AND CANCELLATIONS
Cancellations will be subject to a charge of the agreed upon session rate for all clients if Received after the 24-hour window (this include the full insurance rate) or if you no show. You can cancel directly through the portal by canceling the appointment prior to 24 hours before your scheduled session. Once you're in the 24-hour window, You must send a message through the portal or call and speak with me directly. Voicemails will not be accepted. Please DO NOT send a text message to the number provided. The line does not have text features.
You will receive an email reminder, voice call or text reminder (which ever you sign up for, but you must choose one) 48-hours & 15 minutes prior to your scheduled appointment. All reminders sent through the portal are timestamped.
FMLA &/OR OTHER PAPERWORK
At this time, only therapists who are fully licensed are able to complete any FMLA, provide any type of supporting letters or disability paperwork. If you are unsure about whether or not a clinician is fully licensed, revisit your therapist's details. If it says that they have a supervisor, then they will not be able to complete any paperwork. If your therapists is fully licensed, please keep reading.
If you request any letters, forms, or any other paperwork to be completed, such as, but not limited to FMLA or disability forms, please be advised that there is a fee for all paperwork. Our fee is $140.00 per hour for all clients. The fees will be paid by you the client. FMLA paperwork generally requires a minimum of 30-60 minutes to complete, due to the need for supporting clinical documentation. Disability paperwork often takes longer to complete and may require additional assessments beyond my regular intake evaluation. The time required to make copies or prepare and send faxes, and any other administrative business (e.g. preparing releases of information or requests for records; phone calls to HR or other non-clinical calls) not directly related to scheduling or cancellations, will also be assessed based on a rate of $140.00. Only licensed clinicians can complete FMLA or disability paperwork. Students will not be allowed to complete any form of paperwork of this nature.
We will not complete any FMLA, disability, other paperwork or letters of support unless we have met with you for at least 4 sessions. We will also not complete any FMLA or disability paperwork if we do not believe we can support it based on what you have presented at intake and during sessions. If your FMLA or short-term disability is approved, weekly sessions will be recommended in order to address your current needs. Before completing any paperwork,we will let you know the amount of time we will need to complete the document so that payment can be made. Documents will be completed and submitted within 5 business days (Monday-Thursday).
LITIGATION POLICY AND FEES FOR COURT-RELATED SERVICES:
Fees for litigation related services will also be outline in the practice policy that you are required to sign.
